Buildrs United
Buildrs United is an open community initiative organized and operated by Ideafrm LLC. Buildrs United is not a separate legal entity. References in this Policy to “Buildrs United,” “we,” “us,” “our,” or the “Community” refer to Ideafrm LLC in its role as the organizer and operator of Buildrs United.
1. Introduction and Scope
This Data Privacy and Use Policy (“Policy”) explains how Ideafrm LLC, as the organizer and operator of Buildrs United, collects, uses, stores, and shares personal information in connection with Buildrs United events, community activities, websites, communications, newsletters, and related services.
Buildrs United is an open community and participation in the Community is generally free. Participation does not create any ownership, membership interest, employment relationship, partnership, or other legal interest in Ideafrm LLC.
This Policy applies to:
- People who follow Buildrs United calendars, event pages, or community channels.
- Attendees who register for or participate in Buildrs United events.
- Individuals who join Buildrs United community lists or newsletters.
- Speakers, volunteers, collaborators, and contributors.
- Event vendors, partners, sponsors, and co-hosts (“Event Partners”).
- Visitors to Buildrs United websites and digital properties.
By registering for, attending, following, or otherwise participating in Buildrs United activities, you acknowledge this Policy.
Where separate consent is required for a particular use of personal information, such as certain marketing or newsletter communications, Buildrs United will seek that consent separately.
2. What We Collect
When you follow Buildrs United, register for an event, participate in the Community, subscribe to communications, or interact with our websites or services, we may collect information such as:
- Name
- Email address
- Phone number
- Professional role or occupation
- Company or organization
- LinkedIn profile or other professional profiles
- City or general geographic area
- Interests relevant to Buildrs United programming
- Event registration responses
- Events registered for
- Events attended or checked into
- Community participation history
- Speaker, volunteer, partner, or contributor status
- Newsletter and communication preferences
- Dietary restrictions
- Accessibility requirements
- Other information you voluntarily provide
We may maintain this information as part of a Buildrs United community contact database so that we can understand and serve the Community over time.
Information collected through one Buildrs United platform may be associated with information collected through another Buildrs United platform when reasonably necessary to operate the Community.
For example, information associated with an event registration may be connected with a participant's Buildrs United community profile or attendance history.
We may also collect technical information associated with our websites and digital services, including browser information, device information, IP address, cookies, analytics information, and similar technologies.
Photography and Video
Buildrs United events may be photographed, recorded, livestreamed, or otherwise documented.
By attending an event, you acknowledge that photographs, video, or audio containing your image or likeness may be captured and may appear on Buildrs United or Ideafrm LLC websites, social media accounts, event recaps, presentations, promotional materials, or other official Community communications.
If you have a specific concern regarding photography or recording, contact the Buildrs United team before or during the event. We will make reasonable efforts to accommodate requests where practical.
3. How We Use Information
We may use information collected through Buildrs United for the following purposes:
(a) Event Operations
To:
- Process event registrations.
- Manage event capacity and waitlists.
- Send confirmations and reminders.
- Manage check-in.
- Communicate event information.
- Operate in-person and virtual programming.
(b) Buildrs United Community Management
We may maintain basic information about individuals who follow, register for, attend, or otherwise participate in Buildrs United activities as part of our community database.
This may include information such as:
- Name
- Email address
- Community join or first-participation date
- Events registered for
- Events attended
- Areas of interest
- Community roles
- Communication preferences
We use this information to understand our Community, improve programming, recognize returning participants, organize events, and provide a more useful Buildrs United experience.
Being included in the Buildrs United community database does not automatically mean that you have subscribed to a Buildrs United marketing newsletter.
(c) Newsletters and Community Communications
Where you have opted in to receive Buildrs United communications, we may use your email address and related communication preferences to send:
- Upcoming event announcements
- Buildrs United newsletters
- Community updates
- Educational resources
- Event recaps
- Opportunities
- Partner or collaboration announcements
- New Buildrs United programming
- Other content related to Buildrs United
Newsletter or marketing consent may be collected through event registration forms, Buildrs United websites, newsletter subscription forms, community onboarding, or other clear opt-in mechanisms.
For example, an event registration form may include an option such as:

Choosing to attend or register for a Buildrs United event does not, by itself, constitute consent to receive all future marketing or newsletter communications where separate consent is required.
Participants may unsubscribe from non-essential email communications at any time using the unsubscribe option provided in applicable messages.
(d) Email and Publishing Platforms
Buildrs United may use third-party email, newsletter, publishing, customer relationship management, or community platforms to manage communications.
Where a participant has appropriately opted in, Buildrs United may transfer their:
- Name
- Email address
- Subscription status
- Communication preferences
- Relevant segmentation information
to a service used to send Buildrs United communications.
These services may include platforms such as Substack or other newsletter, community, CRM, or email providers selected by Buildrs United.
Buildrs United may change service providers over time. A participant's Buildrs United subscription and preferences may be transferred to a replacement provider where appropriate so that Buildrs United can continue providing the communications the participant requested.
A participant will not be required to remain subscribed and may unsubscribe at any time.
(e) Community and Event Curation
We may use information about Community participants' roles, industries, interests, backgrounds, experience levels, and participation history to:
- Develop relevant programming.
- Understand Community interests.
- Create useful networking opportunities.
- Invite relevant participants to specialized events.
- Improve the mix of attendees at events.
- Identify potential speakers, collaborators, volunteers, or contributors.
(f) Event Partner Collaboration
We may provide limited information to Event Partners where reasonably necessary to operate, improve, or personalize a specific event and where such sharing is consistent with this Policy.
Partner access to attendee information is subject to the restrictions described in Section 5.
(g) Safety and Community Standards
We may process information where reasonably necessary to:
- Protect participants.
- Enforce event rules.
- Maintain safe and respectful environments.
- Investigate misconduct.
- Prevent fraud or abuse.
- Enforce Buildrs United community standards or Codes of Conduct.
(h) Legal and Operational Requirements
We may process or retain information where reasonably necessary to:
- Comply with legal obligations.
- Satisfy contractual requirements.
- Work with service providers.
- Maintain appropriate organizational records.
- Respond to legal processes.
- Protect Buildrs United, Ideafrm LLC, participants, or third parties.
(i) Improving Buildrs United
We may use information to understand:
- Event participation
- Attendance
- Community growth
- Engagement
- Programming interests
- Communication performance
- Community trends
This information helps us improve Buildrs United events, programming, communications, and Community experiences.
4. Community Membership, Communications, and Opt-Out
Buildrs United distinguishes between community participation and optional marketing or newsletter communications.
Community Records
If you follow Buildrs United, register for an event, attend an event, or otherwise participate in the Community, Buildrs United may retain basic information necessary to maintain a record of that relationship.
This may include:
- Name
- Email address
- Event participation history
- Community status
- Relevant operational records
Newsletter Opt-Out
Participants may unsubscribe from Buildrs United newsletter or promotional communications at any time.
Unsubscribing from a newsletter does not necessarily remove an individual's basic event or Community record.
For example, we may still retain information necessary to:
- Maintain event registration records.
- Communicate about an event you have registered for.
- Maintain attendance history.
- Protect event safety and security.
- Prevent fraud or abuse.
- Fulfill legal obligations.
Data Sharing Opt-Out
Participants may request that their information not be included in non-essential Event Partner data sharing.
Where such a request applies, Buildrs United will not intentionally include that participant in partner-facing attendee data used for networking, personalization, or similar non-essential purposes.
Deletion Requests
Participants may request deletion of eligible personal information, subject to information that Ideafrm LLC is permitted or required to retain.

5. Data Use Expectations for Event Partners
Buildrs United may collaborate with companies, organizations, sponsors, community groups, vendors, and other partners to produce events and programming.
Event Partners may receive limited attendee information only where:
- The information is relevant to the applicable event or collaboration.
- The sharing is consistent with this Policy.
- Applicable participant preferences are respected.
- The sharing is otherwise permitted by applicable law.
Event Partners receiving personal information from Buildrs United agree to:
- Use attendee information only for the specific event or authorized purpose.
- Not sell attendee information.
- Not resell, license, or redistribute attendee information.
- Not add attendees to unrelated marketing lists without appropriate permission.
- Not send irrelevant or unsolicited promotional communications.
- Maintain reasonable confidentiality and security protections.
- Respect applicable attendee opt-out requests.
- Delete or return information when requested by Buildrs United where appropriate.
- Comply with applicable privacy and data protection requirements.
Buildrs United does not provide attendee personal information to an Event Partner merely as consideration for sponsorship, payment, or financial support.
An Event Partner wishing to establish an independent marketing relationship with an attendee should obtain the attendee's appropriate consent directly or through an authorized Buildrs United process.
6. Third-Party Platforms and Service Providers
Buildrs United relies on third-party services to operate portions of the Community.
These may include:
- Event registration platforms
- Calendar platforms
- Newsletter and publishing platforms
- Email providers
- Website hosting
- Databases
- Community management tools
- CRM systems
- Analytics providers
- Payment providers
- Forms and surveys
- Automation platforms
- Communication tools
For example, Buildrs United may use an event platform to manage registrations and a separate newsletter platform to distribute Buildrs United communications.
Information may move between these systems where reasonably necessary to provide the services described in this Policy and consistent with applicable participant preferences.
Third-party services may also process information according to their own privacy policies and terms.
7. Storage, Security, and Data Retention
Buildrs United and Ideafrm LLC take reasonable administrative, organizational, technical, and physical measures designed to protect personal information appropriate to the nature and volume of the information being processed.
Access to non-public Community information is limited to individuals and service providers with a legitimate need for access.
We retain personal information only as long as reasonably necessary to:
- Operate Buildrs United.
- Provide requested services.
- Maintain Community and event records.
- Fulfill the purposes described in this Policy.
- Resolve disputes.
- Maintain safety.
- Protect Ideafrm LLC or the Community.
- Meet applicable legal requirements.
Information may be processed or stored through third-party services located in the United States or other jurisdictions.
When deletion is requested, eligible information will be deleted, anonymized, or de-identified where reasonably practicable, except where continued retention is permitted or required.
8. Rights of Community Participants
Depending on applicable law and where you live, you may have rights relating to your personal information.
Buildrs United allows participants to contact us to request that we:
- Confirm whether we maintain information about them.
- Provide access to eligible personal information.
- Correct inaccurate information.
- Delete eligible information.
- Update newsletter or communication preferences.
- Unsubscribe them from non-essential communications.
- Stop certain non-essential uses or disclosures.
- Confirm an opt-out request.
- Provide information regarding certain categories of third parties with which information has been shared.
- Withdraw consent where processing is based on consent.
We may need to verify your identity before fulfilling certain requests.

Nothing in this Policy is intended to limit privacy rights provided by applicable law.
9. Policy Updates
Ideafrm LLC may update this Policy periodically to reflect changes in:
- Buildrs United operations
- Community programming
- Technology
- Service providers
- Data practices
- Legal requirements
The current version will be made available through an official Buildrs United website or another appropriate Community channel.
If we make material changes affecting how previously collected personal information is used, we may provide additional notice or seek additional consent where appropriate or required.
Continued participation in Buildrs United activities after an updated Policy becomes effective constitutes acknowledgment of the updated Policy to the extent permitted by law.
10. Liability and Protection
Ideafrm LLC seeks to handle personal information responsibly and transparently and expects service providers and Event Partners receiving Buildrs United information to do the same.
However, no data storage, communications, or information security system can be guaranteed to be completely secure.
To the fullest extent permitted by applicable law, Ideafrm LLC shall not be responsible for unauthorized acts or independent data practices of third parties outside Ideafrm LLC's reasonable control.
Nothing in this Policy is intended to waive, restrict, or eliminate rights or remedies that cannot legally be waived.
11. Acceptance
By registering for, following, attending, or otherwise participating in Buildrs United activities, you acknowledge that you have been provided access to this Data Privacy and Use Policy and understand how Buildrs United and Ideafrm LLC may process information as described above.
Where Buildrs United requests separate consent for newsletter subscriptions, promotional communications, partner communications, or another optional use of information, acceptance of this Policy alone does not replace that separate consent.
Event Partners that sponsor, co-host, or otherwise collaborate on a Buildrs United activity agree to comply with the applicable portions of this Policy as well as any additional written agreement entered into with Ideafrm LLC.
